Training statuses

Look up what the training statuses on Management AZ's topic, lesson, session, sign-off and training record pages mean.

Management AZ shows where a training stands on several pages, each with its own labels. Find the label you see; where two pages name one state differently, both names are given.

Topics and lessons

A training topic is Active once enabled, Inactive when new, disabled or restored, and Archived when taken out of the current list but kept. The actions that change them are described in Training topic pages at a glance.

On the page that Learning Content opens for a topic, titled with the topic, lessons have the same three statuses. The line above the lesson table calls archived lessons pending deletion; it is the same state as Archived.

Where a lesson's text can be extracted, Details shows:

  • Extracted: the text has been extracted, with the number of parts.
  • Not extracted: no extracted text yet, whether extraction has not run, is still running or has failed. If it stays after you reload the page later, select Extract text under More actions. An archived lesson must be restored first.
  • File missing: the lesson's original file is no longer in storage.

Learning sessions

On the Learning Sessions tab of the Sessions page, each row is one employee's session for one topic. See also how to follow your employees' training progress.

Status Meaning
Not started The session exists, but nothing has been recorded in it yet.
In progress Started, but not every lesson is completed. A lesson with an assessment counts only once its latest attempt is passed.
Completed Every lesson is completed, and the training is open for signing. The employee's signature can be recorded at the same moment.
Expired The session can no longer be completed. A training completed before it expired can still be signed.

In a session's details, Assessment reads Passed when the latest attempt at every assessment of the topic is passed. In a topic with an assessment, it reads Not passed before that, as soon as any progress is recorded, even if no assessment has been taken. Not taken yet means no result is recorded yet, for example in a topic without an assessment.

An employee's profile shows the same four statuses, in your language, on its Training tab: Not started, In progress, Completed and Expired. Its counters are Completed, In progress and Overdue (sessions not started or in progress whose due date has passed).

A training nobody has started yet has no session, so neither the Sessions page nor the profile lists it, and it is not counted in Overdue. A session appears, already in progress, from the moment the training is started.

Assessment attempts

On the Assessment Attempts tab, each row is one sitting of an assessment. Result reads Passed when the score reached the pass mark, Failed when it did not, and Pending while no result is recorded. Status reads Completed once the assessment has been submitted.

Signatures

The Approvals tab of the Sessions page has one row per signature: Employee sign-off, Employer sign-off and OHS provider sign-off. On Training sign-offs, Signatures shows Employee, Employer and OHS provider with an icon; hover over one to read its state.

Approvals Training sign-offs Meaning
Pending Pending, hourglass That party has not signed or rejected yet.
Approved Signed, tick That party has signed; the tooltip adds the name and time.
Rejected Rejected, cross That party refused to sign and gave a reason, shown in the tooltip. The training can still be signed later.

Not requested, with an hourglass, means that Training sign-offs found no pending, signed or rejected signature for that party. If a state could not be read, the tooltip shows — instead; see If you cannot sign a training.

The Pending and Rejected filters on Training sign-offs follow the employer's signature only.

Note

The Status filters of the Sessions page also offer In progress, Abandoned and Timed out for attempts, and Waived and Expired for signatures. Signing or rejecting a training never sets Waived or Expired.

Individual training record

Open the record from an employee's profile (Individual training record) or with the document button in the Training record column of Training sign-offs. Under Record details, Status reads:

  • No stored version yet: no version is stored as the current one. Live preview (not stored) still opens the record as it reads now.
  • Updating…: a change to the employee's training, such as a completion, a signature or a rejection, is not in a stored version yet.
  • Stored on …: the current version was stored on the date shown.
  • The update failed; contact Safety AZ: such a change is still not in a stored version after ten minutes.

Under Stored versions, the current stored version is marked Current and the ones it replaced Superseded.
