How-to guide

Sign off completed training

Sign the employer's part of an employee's individual training record, for one completed training or for many at once.

When an employee completes a training, three parties sign it: the employee, the employer and the OHS provider. This guide covers the employer's signature. You sign by typing your full name, and the name on your account is then printed on the employee's individual training record with the date and time of signing.

Before you start

  • The employee has completed the training. A training appears in the list as soon as it is completed.
  • Any Management AZ user of your organisation can sign for the employer, except for a training they took themselves. A colleague has to sign that one.
  • A signature cannot be withdrawn. If you are not sure, open the employee's training record first, or reject the training instead.

Open the list of trainings to sign

  1. In the menu, under Health & Safety, select Training sign-offs.

  2. Use the All, Pending and Rejected chips to list only the trainings in that state, or type in the search box to find an employee or a topic.

  3. Read the row before you sign. Signatures shows who has signed so far: Employee, Employer and OHS provider. Hover over a name to see its state, the signer and the time. Your column on the record names the column of the record that your signature fills.

The Training sign-offs page listing three completed trainings, two waiting for the employer's signature and one rejected, with the Employee, Employer and OHS provider signatures on each row.
Each row shows who has signed so far and the record column your signature fills.
  4. To read the record first, select the document button in the Training record column.

Sign one training

  1. Select Sign on the row. The dialog Sign the individual training record opens.

  2. In Full name, type your name exactly as it is shown in bold after Type your name as it appears on your account: Capital letters and extra spaces do not matter; the letters themselves must match.

The dialog for signing the individual training record, with the Full name field filled in and the name to type shown under it.
Type the name shown under the field, then confirm.
  3. Select Sign. To leave without signing, select Cancel.

The page reloads and confirms how many trainings were signed. A signed training leaves the list.

Sign several trainings at once

  1. Tick the checkbox at the start of each row. The checkbox in the table header ticks every row that is currently listed, so a search or a chip narrows what it selects.

  2. Select Sign selected. The number in brackets is how many rows are ticked.

  3. Type your name in Full name and select Sign.

You can sign up to 200 trainings in one go. Each training is signed separately: if one cannot be signed, the page names it with the reason and the others are still signed.

After you sign

  • An update of the employee's individual training record is requested, so that it shows your signature.
  • The three signatures can be given in any order. To see all three for a training you have signed, open Sessions, under Training in the menu, and select the Approvals tab.
Note

If the Sign buttons are disabled, your account cannot sign yet. The page shows a message that explains why.
