Work through the Approvals inbox

See every decision waiting for you in one list, oldest first, and open the page where each one is made.

Approvals gathers every decision waiting for you across Management AZ: leave, time, training sign-offs, reviews, provider requests, work permits, job adverts, PPE and data requests. It shows one card per queue and, below the cards, everything in one list, oldest first.

The page only reads. You make each decision on the queue's own page, which the card's Open link takes you to. Each queue is counted by the same rule as its own page, so a card, Home and that page count the same items.

Open Approvals

  • In the menu, under Overview, select Approvals. The number beside it is the total of decisions waiting for you.
  • Or, on Home, select View all on the Pending approvals card, which shows the eight decisions that have waited longest; see Read your Home page.

Approvals reads every queue again each time you open it. Above the cards, a sentence gives the total of decisions waiting for you.

The queue cards

Each card shows the queue's name, how many items wait in it and, when there is at least one, how long the oldest has waited, from Oldest: today up to a number of days. A card with something waiting is highlighted. Select Open to go to the page where those decisions are made.

Card What it counts Open takes you to
Leave requests Leave requests waiting for a decision, and approved leave an employee has asked to cancel. Time & leave › Leave approvals
Timesheets Time entries your employees submitted that are waiting for a decision. The card counts entries; the list below shows one row per person. Time & leave › Timesheets
Training sign-offs Completed trainings waiting for the employer's signature, including rejected ones, which can still be signed. Training sign-offs are set up for Romanian employers. Training › Training sign-offs
Reviews to finalise Performance reviews submitted and waiting to be finalised, and reviews their employee disputed. A review another reviewer wrote about you is not counted for you. People › Performance
Provider requests Onboarding steps your occupational providers have asked to add for your people. Nothing applies to anyone until you approve it. Settings › Onboarding steps › Provider requests
Work permits awaiting approval Work permits that are requested or under review. Risk management › Work permits
Job adverts awaiting approval Job adverts a colleague submitted for approval. An advert you submitted yourself is never in your queue: a colleague approves it. Employees › Job adverts
PPE requests Employees' PPE requests that have not been answered yet, whether new or being handled. Risk management › PPE, at its requests
Data requests Employees' requests about their personal data that have not been answered yet, whether new or being handled. Governance › Data requests
Note

Reviews to finalise and Job adverts awaiting approval depend on who is reading, so two managers of the same organisation can see different counts on these two cards.

Waiting on others

The Waiting on others panel counts what waits on someone else, and is never part of your total:

  • The signature requests your organisation sent that are not completed yet, how many are past their expiry, and how long the oldest has waited. Documents › Signatures opens them. As the panel says, A request sent as a link stays here until it is cancelled: nothing marks it signed yet.
  • The job adverts you submitted that are waiting for a colleague to approve them, with a link to Job adverts.

Everything waiting, oldest first

Under the cards, Everything waiting, oldest first lists every waiting item from every queue in one table, with no limit on its length. What has waited longest comes first. It has four columns:

  • Waiting since: the day the item started waiting, for example the day a leave request was sent or an employee asked to cancel approved leave. A dash means the item has no date; it is sorted as if it arrived today.
  • Queue: the card the item belongs to.
  • Request: the employee's name, or the title of the work permit, job advert or provider step. When a name cannot be read, the row shows the queue's own word, such as Leave request. Select it to open the queue's page, where you find the item.
  • Details: what the item is waiting for. Leave shows its first day, after Asked to cancel when it is an ask to cancel. Timesheets show how many entries the person sent. Training sign-offs show Awaiting your signature or Rejected. Reviews show Submitted, Self-assessment or Disputed by the employee. Work permits show Requested or Under review. PPE and data requests show Waiting for an answer or Being handled. Provider requests name the provider platform that asked.

When every queue was read and all of them are empty, the list reads Nothing is waiting for your decision.

Make a decision

  1. Select Open on a card, or select a request in the list.

  2. Decide on the page that opens. The guides for the most common queues are Decide leave requests, Approve timesheets and close a month for payroll, Sign off completed training, Issue PPE and answer requests and Answer an employee's data request.

  3. Come back to Approvals. An item you have decided has left its card and the list, and the total has gone down. An item you have only started on, such as a PPE or data request marked as being handled, stays until it is answered.

When a queue could not be loaded

Each queue is read on its own, so one that cannot be read does not hide the others. Approvals never shows a zero it could not count:

  • The card shows a dash and Could not be loaded. Refresh to retry.
  • A banner at the top of the page reads Some queues could not be loaded, so there is no total and the list below may be incomplete. Refresh to retry. The total is not shown, and neither is the number beside Approvals in the menu.
  • When no item at all could be confirmed, the list reads No items could be confirmed from the available sources.
  • The Waiting on others panel can say Could not be loaded. Refresh to retry. on its own. The cards and the total on this page still show.

Refresh the page to try again. The waiting items are not affected: they are still on their queue's page.
