How training works in Management AZ

Understand how a completed training session gets its three signatures, which column of the individual training record each one fills, and where to open the record.

Employees take their training in Employee AZ. In Management AZ you follow that training, sign it for the employer and open the record it produces. The sections below follow a training from its start to the record and link to the guides for the work you do along the way.

Sessions and completion

When an employee starts a training, a learning session is created. It holds that employee's progress on one training topic. An employee can start a training only while they have exactly one active employment contract in your organisation.

A training topic is one subject of training. Its lessons hold the learning material, and a lesson can have an assessment. Every topic has a training type; see the training types.

A session is completed once the employee has completed every lesson in it and passed the assessment of each lesson that has one. After a failed assessment the employee can try again; only the latest attempt counts.

You follow sessions, assessment attempts and signatures on the Sessions page, under Training in the menu. You can read that page but not change it; see Follow your employees' training progress. For what each status means on this and the other training pages, see the training statuses.

Three signatures

A completed session needs three signatures, one per party: Employee, Employer and OHS provider. They can be given in any order.

  • The employee signs in Employee AZ by typing their full name. An employee cannot reject a training.
  • The employer signs in Management AZ, under Training sign-offs, also by typing the signer's own full name as it appears on their account; see Sign off completed training. A signature cannot be withdrawn. If you cannot sign, see If you cannot sign a training.
  • Instead of signing, the employer can reject a training and give a reason. The training stays in the list, marked as rejected, and can still be signed later; see Reject a completed training.
  • Management AZ shows the OHS provider's signature beside the other two, but you cannot give it.

Which column each signature fills

Each signature fills one column of the employee's individual training record, and the column depends on the training type. On Training sign-offs, Your column on the record names the employer's column for each training.

Party Introductive training Every other training type
Employee Signature of the trainee Signature of the trainee
Employer Signature of the person who verified the knowledge acquired Signature of the person who delivered the training
OHS provider Signature of the person who delivered the training Signature of the person who verified the knowledge acquired

The individual training record

The individual training record belongs to one employment contract. It lists the trainings the employee completed under that contract, with the signatures given on each. A rejection appears in the column of the party that rejected, with its date and the first 120 characters of its reason.

After a session is completed, and after every signature or rejection, an update of the record is requested. To open the record, select the document button in the Training record column on Training sign-offs, or, on the employee's profile, select Individual training record under Quick actions.

That link is shown only when the employee has an employment contract on record. It opens the record of the employee's most recent active contract, or of their most recent contract if none is active.
