What each card on Management AZ's Home counts, where its figures come from and which page each one opens.
Home is the first page in the menu, under Overview. It gathers the figures you are most likely to be asked about: how healthy your compliance programme looks, what is overdue or coming due, and what is waiting for your decision. Every figure is counted from your own registers and is less than a minute old. Most of them open the register they were counted from, so you can see the people and records behind the number.
This guide goes through the cards from the top of the page to the bottom.
When you are just starting
At the top of Home, the Get your workforce set up card lists three steps, each with a link to the page where you do it: Add or import employees, Add workplaces and employment roles and Review training and health requirements. The first two are ticked once the records they ask for are saved; the third is the review that follows them. The card stays open until the first two are done, then folds up; select it to open it again. As the card itself says, Progress reflects saved setup records. It does not establish compliance or approval.
While nobody is on your roster, the compliance score is replaced by a Compliance overview card that reads Add your workforce before we assess what needs attention. No compliance score is available for an empty workforce. Romanian employers can bring their whole register in from a REGES Online export; see Import REGES files into Management AZ.
Compliance health
Compliance health is a score out of 100 with a grade under it. It is a weighted blend of the four figures shown under Programme progress, and the caption under the gauge says so: Blended from medical clearance, account activation, incident actions and days without a lost-time injury.
| Figure | Weight | What it measures |
|---|---|---|
| Medical clearance | 40% | The share of your active employees whose current fitness certificate is in date and says Fit or Fit with conditions. An expired certificate, an unfit verdict and no certificate at all count against it. |
| Account activation | 25% | The share of the employees who are expected to hold an Employee AZ account and have activated it. People recorded as not expected to hold one are left out. An invitation that has not been accepted yet does not count as activated. |
| Incident actions closed | 20% | The share of the actions recorded against your incidents that are completed or verified. With no incident actions on record, this figure is 100%. |
| Lost-time-injury-free (90d) | 15% | The days since your last lost-time injury, out of 90. With no lost-time injury on record, this figure is 100%. |
A lost-time injury here is an incident recorded with the severity Restricted work, Lost time, Hospitalisation, Permanent disability or Fatal. A Near miss, First aid or Medical treatment case is an incident, but it does not reset the count.
The band scale under the gauge shows which grade the score falls in:
- Excellent: 90 to 100.
- Good: 75 to 89.
- Fair: 60 to 74.
- At risk: below 60.
The score is built from these four figures only. Training, psychological fitness and right to work are not part of it, so a high score does not mean that every obligation of every employee is met. To see those, open Obligations, described further down this page.
Programme progress
Programme progress shows the four figures behind the score as meters, each with its percentage. Select a meter to open the register it is counted from:
- Medical clearance opens Occupational medicine › Fitness certificates.
- Account activation opens Employees, filtered to the working employees without an account. To invite them, see Invite an employee to Employee AZ.
- Incident actions closed opens Incidents › Corrective actions, filtered to incident actions.
- Lost-time-injury-free (90d) opens Incidents › Incident reports.
Key figures
Six tiles each show one number with a short note beside it. Select a tile to open the page behind it.
| Tile | What it counts | Opens |
|---|---|---|
| Active employees | Everyone on your active roster. The note says how many of them have no account yet. | Employees |
| New hires (30d) | The people whose active contract started in the last 30 days, each counted once, with their share of your headcount. | Employees |
| Medically cleared | The same share as the Medical clearance meter. The note counts the expired certificates, or else the employees with no certificate recorded. | Fitness certificates |
| On leave today | Approved leave requests that include today. | Time & leave › Schedule, at the Team calendar |
| Open incidents | The incidents that are not closed. The note counts the near misses of the last 30 days, and the small line shows incidents month by month. | Incident reports |
| Days since last lost-time injury | The days since the last lost-time injury, as defined above. With none on record, it shows a dash and None recorded. | Incident reports |
Alert hub
The Alert hub holds four counters of things that are already late or missing. A counter at zero is shown in green. A counter above zero is shown in red and opens the list behind it:
- expired medical certificates: active employees whose current fitness certificate has passed its expiry date. Opens Fitness certificates.
- overdue incident actions: incident actions still open after their due date, or after the extended date when an extension was granted. Opens Corrective actions, filtered to exactly those actions.
- overdue medical surveillance: health surveillance enrolments whose next check is past due. Opens Surveillance enrolments.
- employees without an account: working employees who have not been invited to Employee AZ, or who were invited and have not signed in yet. Opens Employees, filtered to those people.
Safety spotlight
Safety spotlight lists four safety figures. Select a row to open its register:
- Open incidents, with the near misses of the last 30 days. Opens Incident reports.
- Lost-time injuries (YTD): lost-time injuries dated this calendar year. Opens Incident reports.
- Live work permits: work permits that are approved, issued, active or extended. Opens Risk management › Work permits.
- Overdue incident actions: the same count as in the Alert hub. Opens Corrective actions, filtered to the overdue incident actions.
Upcoming deadlines and Expiries by horizon
Upcoming deadlines (30 days) lists what falls due in the next 30 days, plus what is already overdue, from five sources. Each row names the person, permit or piece of equipment, then the kind of deadline and its date:
- Medical cert: a fitness certificate that ends. Opens Fitness certificates.
- Surveillance: the next check of a health surveillance enrolment. Opens Surveillance enrolments.
- Contract ends: the end date of an active contract. Opens Employees.
- Permit: the requested end of a live work permit. Opens Work permits.
- Inspection: the next inspection due on a piece of equipment. Opens Machinery & equipment › Inspections.
The list is sorted by date, so overdue rows come first and are marked Overdue. It shows the eight earliest rows and has no link to a longer list. With nothing due, it reads No deadlines in the next 30 days.
The Expiries by horizon chart counts the same five kinds of deadline over a longer view, in four bars: Overdue, ≤30 days, 31–60 days and 61–90 days.
These two cards do not cover training, psychological fitness or right to work, and an expired fitness certificate is counted in the Alert hub rather than listed here. They are shown on Home only: nothing is sent to you or to your employees about them.
Pending approvals and Obligations
Pending approvals shows the eight decisions that have waited longest for you, such as leave requests, timesheets and training sign-offs, with the total beside the title. Each row opens the page where that decision is made. View all opens Approvals, and Waiting on others counts the documents your organisation sent for other people to sign. With nothing waiting, the card reads Nothing awaiting your approval. For the full list, see Work through the Approvals inbox.
The Obligations card is the way into the obligation lists, in three groups: Training (four training lists), Health (medical and psychological) and Employment (right to work and, for Romanian employers only, Commute). Each group opens its part of the overview, and Open obligations opens the whole of it. The card shows no counts: each list works out who is outstanding from each person's records when you open it. If a list cannot be worked out at that moment, it says Temporarily unavailable.
Charts and calendar
- Incident severity mix: the incidents of the last six months by severity, from near misses to lost-time injuries.
- Fitness status: your active employees by the verdict of their current fitness certificate, including the expired ones and those with none recorded.
- Workforce composition: your active employees by the type of their latest active contract, with a slice for those who have no active contract.
- Incidents (last 6 months): incidents per month.
- Calendar: your employees' birthdays, public holidays, the first and last days of contracts, and your organisation's events.
The charts are for reading only: they do not open a register.
Quick actions
Quick actions lets you record four things without leaving Home. Each opens a short form; after you confirm it, Home says what was recorded, with a View in register link to where it went.
- Update Revisal data imports an .rvs file exported from Revisal, 2 MB at most. This is for Romanian employers only.
- Sanction an employee, Report accident and Report an illness record a disciplinary sanction, an accident or an occupational illness for one of your employees. Like the sanctions register and Incident reports they write to, they are set up for Romanian employers.
The last three need someone on your roster. Until then they are greyed out, with the reason under them: Add an employee before using this action. When the roster could not be read, the reason is The employee list could not be loaded. Try again.
When a figure is unavailable
Each card is counted from its own registers, so one register that cannot be read affects only the cards that need it. Home never shows a zero it could not count. Instead:
- A tile, a counter or a spotlight row shows a dash and Unavailable. A counter or a spotlight row then leads nowhere; On leave today, Open incidents and Days since last lost-time injury still open their page.
- A meter shows Unavailable in place of its percentage.
- Compliance health, or a chart, is replaced by a card that reads Unavailable and Some source records could not be loaded. Refresh to retry. The score needs all four of its figures, so it is unavailable when any of them is. Three charts are titled differently on that card: Fitness status reads Medical fitness status, Incidents (last 6 months) reads Incident trend and Expiries by horizon reads Deadline horizon.
- Upcoming deadlines (30 days) and Pending approvals show the rows they could confirm under Some sources are unavailable. This list may be incomplete; refresh to retry. When there are none, they read No items could be confirmed from the available sources.
Refresh the page to try again. Nothing you have recorded is affected.
