How-to guide

Read and confirm the risks of your job

Read the risks of your job, the approved risk assessments that cover you and what protects you, confirm you have read and understood them, and know when you are asked again.

Your employer must tell you about the risks of your job and what protects you from them. In Employee AZ they are under Health & Safety › Safety › My risks. You read them there and confirm with I have read and understood these risks. When the risks shown to you change, you are asked to read and confirm them again.

Open My risks

  1. In the menu, under Health & Safety, select Safety, then the My risks tab.

  2. When there is something for you to confirm, a number on the tab shows risks to read and confirm, and My tasks on your Home page lists Read and confirm the risks of your work, marked On Safety › My risks.

The tab opens with a sentence that names your job as it is recorded on your employee record, or, with no job named, says The risks your employer must tell you about for your work, and what protects you from each. Below it come four parts, described next. The first two are always there; the other two appear when there is something in them.

What is listed

  • Your risk assessment: your risk-assessment document, when your employer sent it to you to sign. Until it is signed, the part says your employer asked you to sign it and links to To sign with Go to To sign. Once it is signed, the part shows its title and the day it was signed and, when the document can be opened, Open document. When nothing was sent to you, it says No risk-assessment document has been sent to you to sign yet. You can ask your manager for a copy.
  • Your employer's risk assessments: the risk assessments your employer has approved that cover your work. See the next section.
  • Risks of your job: the risks recorded for your occupation. Each is marked Risk of injury, Risk to your health or Risk of injury and to your health, with a short description. Under What protects you come the measures that protect you from it; a measure tagged Required by law is one the law requires.
  • Risks of the equipment you use: the hazards recorded for the equipment you are authorised to use now, each named with the equipment and the kind of hazard, for example moving parts or noise. Under What protects you come the controls and, after Wear, the PPE to wear. The equipment itself, and until when you may use it, is on the Equipment tab.

Which risks are listed depends on what your employer recorded: your occupation on your employee record, the equipment you are authorised on and the risk assessments they approved. If something about your work is missing, ask your manager.

Your employer's risk assessments

Only approved risk assessments are listed. An assessment covers you when it is written for The whole organisation, or for Your occupation: the occupation on your employee record or a group of occupations it belongs to. Each row shows:

  • its reference and title, the kind of assessment, and what it covers;
  • when it is next reviewed, or that its review was due on a day that has passed;
  • the highest level of risk among its hazards now, for example High.

Open the line that counts its hazards to read them. Each hazard shows its category, what it is, What could happen:, the level of Risk now and, when your employer rated it, the level After the measures. Then comes the decision your employer took about it:

  • Acceptable
  • Acceptable with the planned measures
  • Not acceptable: work must not go ahead as it is

Under What protects you now are the controls already in place. Under What your employer plans to do are the actions your employer planned, each with its state, such as Planned, In progress, Done or Verified, its due date (marked overdue when it has passed and the action is not finished) and its priority. Controls and actions that apply to every hazard are listed last, under For all the work this assessment covers.

When no approved assessment covers you, the part says No approved risk assessment covers your work yet. When the assessments cannot be read, it says Your risk assessments could not be read right now. Try again in a few minutes.

Note

An assessment written for a particular site or department is not listed. The part says how many are left out and why, and then never says that no assessment covers you. When your job is not on your employee record, assessments for particular occupations are not listed either, and the part says Risk assessments for particular occupations are not listed: your job is not recorded on your employee record. Ask your manager for any assessment that concerns your work.

Confirm you have read and understood them

At the foot of the tab, a box asks you to confirm: Read these risks and what protects you from each, then confirm you understood them. If something is not clear, ask your manager before you confirm.

  1. Read each part of the tab. Open the hazards of each of your employer's risk assessments too: what you confirm covers everything the tab shows.

  2. If something is not clear, ask your manager first. Who to ask on your Profile names your manager and your safety contact when your employer has recorded them.

  3. Select I have read and understood these risks. The page confirms Thank you. Your confirmation that you read the risks of your job is recorded.

The box then says that you confirmed, with the date and time. Your confirmation is recorded with that time, your name and the risks the tab showed you. It is not a signature of your risk-assessment document: that document is signed separately and is listed in To sign; see Sign what is waiting in To sign.

When you are asked again

You are asked to read and confirm again when what the tab shows changes, for example when:

  • a risk of your occupation is added, removed or revised, or a measure that protects you from it is added or removed, including when a change of your occupation changes the risks listed;
  • a hazard of the equipment you use is added, removed or reviewed, or you start or stop being authorised on equipment that has hazards;
  • a risk assessment that covers you is approved, revised, reviewed or withdrawn, or one of its planned actions moves on, for example to done, or gets a new due date.

The box then says that these risks changed since the day you last confirmed them, and asks you to read them again and confirm. The tab's number and the task on your Home page come back until you do. Your risk-assessment document does not count here: signing it, or a new one, does not ask you again.
