How-to guide

Find your documents

Find the documents your employer sent you, your training records, fitness certificates and contracts in one library, with earlier versions and, in Romania, your individual training record.

Documents keeps the documents about your work in one place: what your employer sent you to read or sign, your training records and certificates, your certificates of fitness for work and your contracts. If your employer is in Romania, it also holds your individual training record and your commute declaration. You read documents here; what still needs your signature is in To sign.

Open Documents

  1. In the menu, under Me, select Documents. The page opens with every category, one card each.

  2. To see one category only, select its name in the row of filters at the top, for example Training. Select All to see every category again.

The To sign button at the top of the page takes you to what needs your signature; see Sign what is waiting in To sign.

What each category holds

Category What it holds
Safety instructions and procedures The safety instructions and procedures your employer sent you to read and sign.
Risk assessment for your job The risk assessment of your job, when your employer sent it to you as a document. Your risks, on Safety opens the risks themselves and what protects you from them; see Read and confirm the risks of your job.
Training records and certificates Individual training record, in Romania only; see below. Training certificates: the current certificate of each training topic you completed, with its number and validity; see Your training certificates. Training documents you were sent, when your employer sent you any.
Medical and psychological fitness Each Medical fitness certificate and Psychological fitness determination, the one In force first, with its outcome, number and dates. A psychological determination shows only its outcome, how long it is valid and any restrictions. Your health, on Health opens your Health page. Then Health documents you were sent, when there are any.
Contract and annexes Your contracts: each employment contract with your employer, current ones first, with its type and dates. Details, on Employment opens the rest of its details. Then Annexes and contract documents your employer sent you, such as an addendum.
Declarations Commute declaration, in Romania only: how you travel to work, with every earlier version. Use Declare it on Home or Update it on Home to make or change it. Then Declarations you were sent, such as the internal rules.
Other documents Any other document your employer sent you, with its type. This card and its filter appear only when there is one.
Privacy notice and terms See what you accepted opens Your data in Settings, which lists the versions of the privacy notice and the terms you accepted, and when; see Ask for a copy or a correction of your data.

A card with nothing in it says so in a short line, and what will appear there. A card that could not be loaded says so instead, for example This could not be loaded right now. That does not mean it is empty.

Documents your employer sent you

The documents your employer sent you to read and sign are filed by their type in the categories above. Each one shows its title, a badge, the day it was sent, and the last day to sign or the day it was signed.

  • Sign with your employer: the document is waiting for your signature, which you give the way your employer arranges, for example on paper. Select Read the document to open it in a new tab.
  • Signed: the document is recorded as signed by you, or by everyone asked. Waiting for others: you signed it and others still have to. Select Open the document to open it.

Documents waiting for you are listed first in each card, then the newest. A document that expired before you signed it, or that your employer withdrew, is not kept here: it is listed in To sign under Missed or withdrawn, and can no longer be opened from Employee AZ.

Earlier versions of a document

When your employer sends a new version of a document, Documents shows the versions as one document. Two documents count as versions of each other when they have the same type and the same title, apart from a version mark at its end such as (v3), rev. 2 or revizia 1/2026. Capital letters and extra spaces do not matter; titles that differ in any other way are listed as separate documents.

  • The version sent last is on top, marked Current version.
  • Under Earlier versions, each older version says whether you signed it, with the date when it is known, or Not signed, and when it was replaced: by the version sent on a given day, or Replaced by the version above.
  • Select Open this version to read an earlier version, where it has a link.

Your individual training record (Romania only)

If your employer is in Romania, your training is entered on your individual training record (fișa individuală de instruire), the Romanian record of your training and its signatures. Employee AZ keeps it up to date for you: a new version is stored after each training you complete or sign, and after your employer or the OHS provider signs. Every earlier version is kept.

  1. In Documents, under Training records and certificates, find Individual training record. It lists the version on file for each of your employment contracts, named by the contract's number or start date and your occupation: Current version, or Final version once the contract has ended, with the date and time it was stored.

  2. Select Open. The stored record opens as a PDF in a new tab.

  3. To see every version, select All versions and the live preview. The page Individual training record opens, with Stored versions for each contract. Expand the line that counts the earlier versions: each Earlier version shows why it was replaced, such as Superseded, when it was stored and when it was replaced, with its own Open.

You also reach this page from the Individual training record buttons in To sign and on your Training page.

The live preview

Under Live preview (not stored), select Open the preview in a new window to see the record as it reads today, built from the latest training data on file. It opens as a PDF in a new window, and every page is marked PREVIZUALIZARE – document neînregistrat (preview, not a recorded document). The preview is not stored: the stored versions are the record on file.

When the record is being updated

On the Individual training record page, a contract may carry one of these lines:

  • Updating…, with Your latest training is being added to the stored version. A new version is on its way. Come back in a few minutes.
  • Not updated, with Your latest training is not in the stored version yet. Ask your employer to check it. The new version has not been stored after about ten minutes. The version shown is still the one on file.
  • No stored version yet: nothing has been stored for you yet. A version is stored after you complete or sign a training.
Note

If your employer is not in Romania, there is no individual training record. The Individual training record buttons in To sign and on your Training page then lead to a page that cannot be found. Your training certificates are on the Completed tab of Training.

Not everything in Documents can be opened as a file. What to do depends on what you see:

  • Ask your employer for a copy on a document: there is no link that can be opened here. Ask your employer for the document.
  • See it on Health on a fitness certificate: no file of it reaches Employee AZ. Your Health page shows its outcome and validity. Only a medical fitness certificate that has a file shows Download; a psychological determination never has one.
  • Your contracts are listed with their details only, not as a file. For a copy of the contract itself, ask your employer.
  • A document that expired or was withdrawn: it can no longer be opened from Employee AZ. Ask your employer for a copy if you still need it.
  • Your individual training record says This document could not be opened: the stored version or the preview could not be opened. Try again in a few minutes, or select Back to the individual training record. If it keeps happening, ask your employer for a copy.

If something goes wrong

  • Your signed documents could not be loaded right now. The documents your employer sent you could not be loaded, and their lists say This could not be loaded right now. The rest of the page still shows. Try again in a few minutes.
  • Not every signed document could be listed: there are more than this page can show. If you expect one that is not here, ask your employer. Your organisation has more document requests than the page can read at once. An empty list then says Not every document could be listed here.
  • Your stored training records could not be loaded. Please try again in a few minutes. Your individual training record could not be read. This does not mean nothing is stored.
  • No employment contract on record. If you have a contract, ask your employer to record it. Who to ask under the message names who to contact.
