How-to guide

Sign what is waiting in To sign

Find everything that needs your signature, sign your trainings on screen and see how documents are signed with your employer.

To sign gathers everything that asks for your signature. You sign your completed trainings here, by typing your full name. Documents your employer asks you to sign are not signed in Employee AZ: you read them here and sign them the way your employer arranges, for example on paper.

Open To sign

  1. In the menu, under Me, select To sign. A number next to it is how many trainings are waiting for your signature. There is no number when nothing is waiting, or while part of the page cannot be loaded.

  2. Read the line under the page title: Documents and trainings that need your signature, followed by how many there are to sign. It ends with Nothing to sign when nothing at all is waiting for you.

You can also get there from your Training page, where Training sign-offs, Waiting for your signature lists the same trainings, each with Sign in To sign, and from the To sign button at the top of Documents.

The page has two panels. Needs your signature holds what you can sign here, with the only Sign buttons on the page. Other requests holds everything else: the documents you sign with your employer, what has been signed, and what closed before you signed.

When a training waits for your signature

A completed training has three signatures: Employee (you), Employer and OHS provider. When you finish a topic yourself, the name you type on its last step is usually your signature, so the training never waits here. It is listed under Needs your signature, Trainings, when your signature is still missing, for example because your employer recorded that it taught you the training in person. See Complete a training topic.

Each training shows its topic, its training type, Completed with the date and time you completed it, and three chips: Employee, Employer and OHS provider. A chip shows a tick once that party has signed, a cross if it rejected the training and an hourglass while it is pending. Point at a chip to read its state: Signed, Pending or Rejected. When your employer or the OHS provider rejected the training, who rejected it, when, and their reason are written under the chips.

If your employer is in Romania, Individual training record on the row opens your individual training record (fișa individuală de instruire), where your signature will be printed; see Find your documents.

Note

A row may say: Your employer recorded that it delivered some or all of this training to you in person. Sign only if you attended. If you did not attend, do not sign, and tell your employer. You cannot reject a training in Employee AZ.

Sign a training

  1. Under Needs your signature, Trainings, select Sign on the training. The dialog Sign the individual training record opens. Selected trainings: shows how many trainings you are signing, and each one is named under it.

  2. In Full name, type your name as it is shown in bold after Type your name as it appears on your account: Capital letters and extra spaces do not matter, and ș and ț count the same whether your keyboard writes them with a comma or a cedilla. The letters themselves must match.

  3. Select Sign. To leave without signing, select Cancel.

The page reloads and confirms how many trainings were signed. Your signature records the name on your account, as the dialog shows it, with the date and time. A signature cannot be withdrawn.

Sign several trainings at once

When more than one training is waiting, a button under the list offers to sign them all and says how many there are. It opens the same dialog with every listed training in it. Type your name and select Sign. Each training is signed on its own: if one cannot be signed, the page names it with the reason, and the others are still signed.

After you sign

  • The training leaves Needs your signature and is listed under Other requests, Trainings you signed, with its three chips. It is marked Fully signed once your employer and the OHS provider have signed too. They sign afterwards, in any order.
  • If your employer or the OHS provider rejects the training, the row says who rejected it and when, with their reason. Without one, it says: No reason was given. Ask your employer what to do next. A reason usually says what to repeat.
  • If your employer is in Romania, a new version of your individual training record is stored with your signature on it. It can take a few minutes to appear.
  • Trainings waiting for your signature lower your readiness score on Home until you sign them; see Your Home page and readiness score.

Documents from your employer

Your employer can send you a document to sign, such as a safety instruction, an annex to your contract or a declaration. Employee AZ shows you the document and its deadline, but you do not sign it here.

  1. Under Other requests, look at Sign with your employer. It says: These documents are not signed in Safety AZ. Read them here, then sign them the way your employer arranges, for example on paper.

  2. Each document shows its title, its type and Not signed in Safety AZ, and the last day to sign when your employer set one. Urgent and high-priority documents are marked and listed first.

  3. Select Read the document. The document opens in a new tab, from where your employer keeps it. If the row says Ask your employer for a copy instead, there is no link that can be opened here: ask your employer for the document.

  4. Sign it the way your employer tells you, for example on paper, before the last day.

Because these documents are not signed here, they are not counted in the number next to To sign and do not lower your readiness score. Under Needs your signature, Documents says so: No document to sign in Safety AZ. When nothing is waiting under Sign with your employer either, it says: You have no documents waiting to be signed.

Note

Safety AZ does not record a signature you give on paper. The document stays under Sign with your employer until your employer withdraws it or its last day passes. After its last day it moves to Missed or withdrawn as expired without your signature, even if you signed it on paper. Your employer keeps the record of your paper signature.

What Other requests shows

Group What it lists
Sign with your employer Documents your employer asked you to sign that are still open. See Documents from your employer.
Signed Documents recorded as signed by you or by everyone asked, marked Fully signed or Waiting for others, with Open the document where there is a link. While there is none, it says: Nothing signed yet.
Missed or withdrawn Documents that closed before you signed: Expired without your signature or Withdrawn by your employer, with the date when it is known, and the Reason your employer gave for withdrawing one. An expired document adds: If you still need to sign it, ask your employer to send it again. These documents can no longer be opened from here. The group is shown only when it has a document.
Trainings you signed Every completed training you have signed, newest first, with where your employer and the OHS provider stand, and their reason if they rejected it.

If something goes wrong

  • Your account has no active identity, so it cannot sign. Contact your employer to complete it. Your Employee AZ account is missing part of what links it to you, and the Sign buttons are disabled. Only your employer can complete it. Under Me, Profile, Who to ask names who to contact.
  • Sorry, you did not write the name correctly in the field above. Nothing was signed. Open the dialog again and type the name shown after Type your name as it appears on your account: If that name is not yours, do not sign, and ask your employer.
  • Sign-offs could not be loaded, so nothing was signed. Please try again. The list could not be checked, so nothing was sent. Try again in a moment.
  • A training the page names with one of these reasons was not signed this time. Reload the page: if the training is still listed, sign it again. If it fails again, ask your employer.
    • This training was already signed, or is not ready to be signed.
    • The sessions service did not record the signature. Please try again.
  • A message that some selected trainings are no longer waiting for your signature usually means they had already been signed, for example in another tab. Reload the page to see where they stand.
  • Part of the page could not be loaded when it says one of these. An empty list there does not mean nothing is waiting. Try again in a few minutes.
    • The document inbox is unavailable.
    • Your training sign-offs could not be loaded, so an empty list here is not a statement that nothing is waiting.
    • The trainings you already signed could not be loaded.
  • This list is not complete: there are more documents than this page can show. If you expect a document that is not here, ask your employer. Your organisation has more document requests than the page can read at once, so yours may not all be listed.
  • When no training is waiting, the list says: No completed training is waiting for your signature. A document your employer has just sent can take up to a minute to appear. If you expect a document that is still not there, ask your employer.
