How-to guide

Confirm your PPE and ask for a replacement

Confirm the protective equipment you received, ask for a replacement or report an item damaged or lost, and read your safety team's answer.

The protective equipment your employer issues to you, such as safety boots, gloves or a hard hat, is listed in Employee AZ under Health & Safety › Safety › PPE. There you confirm that you received each item, and you ask your safety team for a replacement or tell them an item is damaged or lost. Your safety team answers in Management AZ, and you follow their answer on the same tab.

Find your PPE

  1. In the menu, under Health & Safety, select Safety. The PPE tab is the first tab and opens with the page.

  2. A number on the tab counts the items waiting for you to confirm receipt. While there are any, My tasks on your Home page also asks you to confirm them, in one task marked On Safety › PPE.

  3. The items you have now come first. Items you no longer have are listed under No longer in use, and the items you have are then headed In use.

Each item shows its kind, for example Safety boots, and what your employer recorded about it: its description, its Size, how many were issued when there is more than one, the day it was Issued and who issued it, Replace by and the day it may be used until. Once you confirm you received it, the item also shows the day you did.

A badge beside an item tells you what needs attention:

Badge What it means
Replace soon The item is due for replacement within the next 30 days.
Replacement overdue The replacement date has passed. Ask for a replacement.
Past use-by date The day the item may be used until has passed. Ask for a replacement, or ask your safety team whether you can keep using it.
Trained Your employer recorded that you were trained to use the item.
Fit test needed Your employer recorded that the item, for example a respirator, needs a fit test for you. Ask your safety team about it.

An item under No longer in use shows the day it was issued and, when it was handed back, the day it was Returned. Its badge says why it is no longer in use: Returned, Replaced, Reported damaged, Reported lost or Expired.

With no PPE recorded for you, the tab says No PPE currently assigned to you. Equipment your employer issues to you appears here with its size and when it is due for replacement. If you were given PPE that is not listed, ask your safety team to record it. When your PPE cannot be read, the tab says This could not be loaded right now. Please try again in a few minutes.

Confirm you received an item

When your safety team issues an item to you, it shows the button Confirm I received it until you confirm. Confirm only once you have the item in your hands.

  1. Find the item on the PPE tab and check its kind, size and how many were issued.

  2. Select Confirm I received it. The page confirms Thank you. Your receipt of this item is recorded.

The item then shows the day you confirmed, and your safety team sees in Management AZ that you did. A confirmation cannot be undone in Employee AZ. If you confirmed an item you did not receive, or one that does not match, tell your safety team.

Ask for a replacement or report a problem

Ask here when an item is worn out or past its replacement date, when it is damaged, or when you lost it. You ask about one item at a time, from the item itself.

  1. On the item, select Replace or report a problem. Once the item is past its replacement date, the button reads Request a replacement. Either way the dialog Replace or report a problem opens with the item's name and says Your safety team sees this request and answers it on this page.

  2. In What do you need?, choose I need a replacement, It is damaged or I lost it.

  3. In What happened, or why does it need replacing?, say what happened, for example that the palm of a glove is worn through. This field is required and takes up to 1,000 characters.

  4. Select Send request. To leave without sending, select Cancel. The page confirms Sent to your safety team. Their answer will appear on this item.

Your request goes straight to your safety team's PPE requests in Management AZ. You can have one request under way per item: until your safety team has dealt with it or declined it, the item offers no button to ask again.

Note

As the dialog says: If the item is damaged, stop using it until it is replaced. If equipment failed while you were using it, or someone was hurt or nearly was, also report it; see Report an incident or a safety observation.

Follow the answer

Under the item, the page shows what you asked and the day you asked it: Replacement requested, Reported damaged or Reported lost. Until your safety team writes to you, it adds Your safety team has your request. A badge says where the request stands:

Badge What it means
Waiting for your safety team Your safety team has not answered yet.
Being handled Your safety team is dealing with it. They may add a note, for example when the new item will be ready.
Done Your safety team dealt with the request.
Not taken forward Your safety team declined the request. Their reason is shown under the item.

When your safety team writes a note or a reason, it appears under the item, introduced as theirs. Check the item on this page for the answer. Only an item still in use shows its request. While it is in use, once a request is Done or Not taken forward, the answer stays on the item for 60 days, and you can ask about the item again.

When your safety team issues a replacement in Management AZ, the new item appears on the tab, issued that day, with Confirm I received it. Confirm it when you have it. The old item moves to No longer in use, marked Replaced, Reported damaged or Reported lost, as you reported it. Your request and any note with the answer are then no longer shown: the new item is the answer.

Replacement dates on Home and your calendar

  • When an item is past its replacement date, My tasks on your Home page says so, with Ask for a replacement on Safety, and links to the PPE tab.
  • The day each item you have is due for replacement is also on your calendar: the Calendar on your Home page and the Calendar tab of Schedule. It links to the PPE tab.
  • A work permit checks the PPE it requires against the items in use on this tab; see Your steps on a work permit.

If something is refused

When your earlier requests cannot be read, the tab says Your requests about PPE could not be loaded right now, so asking about an item is not offered. Please try again in a few minutes. Every confirmation and request is checked again when you send it. If it cannot go ahead, the page says why:
